This is an illustrative pattern, based on how multi-branch service businesses generally accumulate separate tools over time. It is not any particular client project.

Orders were tracked in one spreadsheet, procurement in another, inventory in a third tool bought two years earlier, and delivery status lived in a messaging group. Each branch trusted its own numbers, and the monthly meeting regularly turned into an argument about which list was correct.

What we checked first

We followed one order from the moment it was placed to the moment it was delivered, and counted how many times the same fact, the order quantity, the stock level, the delivery status, was written down separately by a different person in a different tool.

What we built

One shared operations system covering orders, procurement, inventory and delivery, where each transaction is entered once and every department sees a live view of the same record instead of keeping its own copy.

Where it stands

Head office can see stock and order status across every branch without phoning anybody, and the monthly meeting is spent making decisions instead of reconciling four different numbers.
